Any manager knows that a good supplier is a rarity. Not every person can do such a job. And some even believe that the supplier should be born or be in his soul.

In the structure of any enterprise there is a special service called the "supply department". Some consider it a regular unit, but this is not entirely true. To understand the essence of the problem, you first need to figure out who the suppliers are and why they are hired? Everyone knows that for the production of products for any purpose, three main components must be available:

1) Raw materials.

2) Equipment and other tools.

3) Labor force.

Each of them is equally important. So, the supplier is the person who ensures the presence of the first component. And he is obliged to do this with the maximum benefit for the enterprise.

What is meant in this case? It is about the principles that such an employee should adhere to. In fact, the supplier is the employee who provides the native enterprise with raw materials and materials:

  • as soon as possible (if necessary);
  • concluding contracts at the lowest price;
  • on time;
  • in the planned volume.

From this it is clear that the supplier is the one whose activity makes it possible for any company to work systematically, smoothly and with minimal cost. And this must certainly lead to an increase in profits.

What should the supplier do?

An enterprise will only be able to work well when each employee knows and conscientiously fulfills the duties assigned to him. If everything is clear with the employees of the main production, then the functions of the others must be clearly stipulated. So, the responsibilities of the supplier include:

1) Drawing up procurement plans for certain materials.

2) Conclusion of relevant contracts on behalf of or on behalf of the head.

3) Ensuring timely delivery of goods to the enterprise.

4) Monitoring the integrity of the delivered goods.

5) Ensuring the availability of documentation necessary to confirm the quality of raw materials (certificate, passport or other document).

All work is carried out in stages:

  1. First, the supplier must draw up a work plan based on the regulatory needs of the enterprise. Moreover, each specific type of material must be calculated separately. At the same time, you need to decide on the desired quality.
  2. Then comes the moment of finding a partner. This is where business trips and phone calls go. From a large number of suppliers, one must choose whose conditions are preferable.
  3. After that, the employee goes to the partner to conclude a contract.
  4. The final stage is the receipt of goods, their packaging and delivery to the place of unloading. At the same time, the provider deals with all escort documents.

If each of the listed stages is correctly calculated and completed, then such a company will have everything that it needs to work. So, her employee is really in place.

What is allowed to the supplier?

In order to carry out the assigned task well, any employee needs to have more necessary information, as well as all possible help and support from the management. That is why the “Job” of the supplier contains not only duties, but also his rights, which should be sufficient for the normal organization of work. Among them, the main ones are:

1) The ability to request from the employees of the relevant services the information he needs. For example, the supplier must be aware of the plans of the enterprise, which are economists. He needs to understand the financial condition of the company at the moment in order to navigate at the purchase prices.

He should know from the chief engineer about the availability of free transport in the event of the organization of pickup.

2) To carry out a specific task, the supplier sometimes needs the assistance and direct assistance of the management. Based on the instructions, he has the right to demand it. For example, to make a prepayment to the supplier, you must give the order to the chief accountant.

3) If during the work any shortcomings were revealed, he can make his suggestions for their possible elimination.

Having such rights, a good specialist can always do his job in such a way that there are no complaints to him either from the management or from workers in the main production.

Any personnel officer knows that the supplier’s instructions, in addition to rights and obligations, contain a list of different types of responsibility. In such a work, moments often occur when a person must make his own decision, taking into account only his decency and moral principles.

For example, the supplier offers to give the goods at an inflated price, and in compensation to pay the supplier a certain amount in cash. In this case, a positive answer will lead to cost overruns for the enterprise, and for the employee there will be a solid unplanned increase in salary. The only question is whether the employee will do this. If so, he will violate his duties, which clearly reflect the direction of activity. The “Responsibility” section states that for all violations committed, the supplier will be required to comply with the law.
